Start with one recurring process.

The work stays inside a defined process, record, and authority boundary. It refuses work outside that boundary and routes uncertain cases or decisions requiring human judgment to a person.

Inbox and document intake

Read defined inbound messages or documents, extract agreed fields, and send incomplete, ambiguous, or out-of-scope items to a human queue.

System-of-record updates

Prepare or make narrowly approved updates in the designated system of record, retaining an exception path whenever required information or authority is absent.

Recurring operating reports

Assemble a scheduled report from named sources, flag missing or conflicting inputs, and leave conclusions that require judgment to the responsible person.

Bounded follow-up

Prepare follow-up within approved audiences, templates, and timing rules while holding exceptions, new commitments, and escalations for human review.

Internal information retrieval

Retrieve from an approved internal source set, cite the source material where appropriate, and refuse to answer when the information is missing or uncertain.

Setup establishes the operating boundary before the workflow receives responsibility.

  1. Map the current process and baseline representative work before changing it.

  2. Identify source systems, data, permissions, exceptions, human decisions, and the recovery route.

  3. Agree written acceptance criteria for the bounded workflow.

  4. Build the automation and integrations with only the least required authority.

  5. Run the new path in parallel with the current process and compare the evidence.

  6. Use that evidence to migrate, revise, or stop the workflow.

  7. Deliver the configuration documentation and recovery runbook required to operate it.

Keep it working after launch.

Management begins after setup and continues while the workflow remains useful and within its agreed boundary.

  • Monitor successes, failures, and exceptions.
  • Maintain dependencies such as connected services, model access, and credentials.
  • Make controlled improvements that remain within the agreed boundary.
  • Material expansion, another workflow, or another system boundary requires a new written scope. Monthly management is not an unlimited change budget or a general-purpose help desk.
  • Coach the people responsible for using and reviewing the workflow.
  • Handle incidents within the written service window and use the documented recovery route when needed.
  • Provide a weekly operating report and a monthly review.

The weekly report shows what the workflow did and where people intervened. The baseline and valuation method are agreed in the written scope. Estimates remain estimates; they are not presented as money already saved.
